Position: Collegiate Finance Coordinator

Position Summary:  Headquarters coordinator for training and communication regarding collegiate chapter financial reporting and budgeting. 

Essential Functions:

1. Coordinate transition to Billhighway and oversee chapter accounts.

2. Act as a resource to chapter officers and advisors in responding to general finance questions. Update and distribute financial training materials annually.

3. Participate in In-house training, conference calls, and e-mails regarding collegiate finance procedures.

4. Coordinate the collection of chapter budgets. Track and analyze chapter budget information monthly. Share reports with Member Services Director and the Controller.

5. Process financial suspensions, reinstatement fees, resignations owing money; account for collection of fees, set up payment plans, send reminder letters; pursue collections internally, and determine when to transfer collection to Headquarters contracted collection agency.

6. Annually review chapter 990 tax forms for correct name, address, coding and EIN. File extensions as needed. Submit 990’s for all chapters.

7. Perform other special projects and responsibilities as assigned.

Required Knowledge, Skills, Abilities and Other Characteristics:

Ability to work with budgeting and general understanding of Microsoft office in order to support officers and advisors. Four year college degree desired. Proven ability to handle multiple tasks and work independently. Strong oral and written communication and customer service skills. Must be an energetic self-starter with excellent organization and follow-up skills. Greek member preferred.

Position: Director of Foundation Advancement

Position Summary:  Responsible for all major gift, annual fund, stewardship, scholarship, and grant programs. Develop systems and procedures to coordinate constituencies, enhance the fund-raising programs, and increase contributions. Oversee the day-to-day affairs of the Foundation, manage staff and operational volunteers, serve as a member of the Alpha Chi Omega management team, and work closely with the Executive Director. 

Essential Functions:

1. Assist Executive Director in implementing a long-term strategic plan for the Foundation, including the development of an advancement plan of work. Develop, recommend and implement a comprehensive fundraising strategy for the Foundation.

2. Direct the Lifetime Opportunities Fund by creating and implementing identification, cultivation, solicitation, and recognition strategies for individual gifts, major donors, planned giving and foundation gift prospects. Create and implement a comprehensive acknowledgment and stewardship system.

3. Serve as the primary development officer and chief advocate for the Foundation, developing and maintaining positive donor relations.

4. Responsible for researching, planning, preparing, implementing and adhering to the Foundation budget. Work closely with the Finance Department and Investment Committee regarding financial reporting, analysis, planning and budgeting.

5. Responsible for resource development and fundraising policies for the Foundation. Oversee the development of solicitation strategies for major gift prospects and collaborate with the development staff to systematically implement these strategies. Responsible for the oversight, execution and creation of efforts to cultivate the interest of prospective new donors both locally and nationally.

6. Oversee the Foundation’s Communication Plan including newsletters, brochures, and the Annual Report. Participate actively in fundraising campaigns and advancement and public relations activities.

7. Oversee all aspects of capital campaigns, including determining organizational readiness, feasibility, launch, etc.

8. Oversee all grants processes for the Foundation including the Foundation grant to the
Alpha Chi Omega Fraternity, scholarships, assistance and opportunity grants.

9. Perform other special projects and responsibilities as assigned.

Required Knowledge, Skills, Abilities and Other Characteristics:

Bachelor’s Degree required, graduate level study in the management of nonprofit organizations and three to five years of fundraising experience in educational, charitable, or nonprofit organizations highly desired. Requires demonstrated ability to make complex decisions, problem solve, practice hands-on management and work with volunteers; strong conceptual, analytical, communication and organizational skills; and experience with MS Office. Entrepreneurial and self-starting aptitude as well as the proven ability to independently manage multiple priorities and projects is essential.
A high level of energy, initiative and creativity is desired. Must be willing to travel, and attend evening and weekend functions. Alpha Chi Omega member preferred.

Position: Communication Coordinator

Position Summary:  Coordinate communication efforts between three entities at Alpha Chi Omega Headquarters (Fraternity, Foundation, National Housing Corporation) and general membership through in-house efforts and working with service vendors. 

Essential Functions:

1. Coordinate with outsourced vendors to ensure timely publication of the Lyre magazine.

2. Serve as magazine editor.

3. Coordinate the Lyre schedule and contributors for each issue.

4. Provide web site updates and communications as necessary.

5. Work with the Marketing Director to develop and maintain a master communications calendar to decrease duplicative efforts and touches.

6. Coordinate and produce the Heraeum of Alpha Chi Omega, the annual account of activities of the Fraternity, Foundation and National Housing Corporation.

7. Act as a resource to headquarters staff with communications questions.

8. Responsible for other projects and tasks as assigned by supervisor.

Required Knowledge, Skills, Abilities and Other Characteristics:

Strong editing and writing skills. Must be proficient in Microsoft Office program. Must possess the ability to manage multiple projects in a deadline-driven environment. Demonstrate good written and oral communication and presentation skills. Attention to detail is important. Graphic design experience and/or a working knowledge of Quark are highly desirable.

Position: Educational Programs Coordinator

Position Summary:  Develop, coordinate, present and evaluate Alpha Chi Omega educational programs with emphasis on collegiate programming but some possibility to assist with alumnae programming. 

Essential Functions:

1. Coordinate presentation of Kristin’s Story, IMPACT, and domestic violence awareness programming. Assist in their evolution and evaluation.

2. Assist in developing, implementing and evaluating programming in other areas such as risk management, ritual appreciation, Leadership Academy for chapter presidents, summer program for chapter advisors and convention. Position entails 2-4 visits to campuses per semester.

3. Assist in developing web-based programming.

4. Monitor trends of today’s college students including their needs and culture.

5. Perform other special projects and responsibilities as needed.

Required Knowledge, Skills, Abilities and Other Characteristics:

Experience in education or training and development preferred. Proven effective oral and written communication and presentation skills. Excellent interpersonal and scheduling skills needed. Strong creativity and initiative as well as ability to handle multiple projects and work in a deadline driven environment. Must be an energetic self-starter with excellent organization and follow-up skills. Must be willing to travel. Proficient in Microsoft Office with other computer skills a plus. Bachelor’s degree required. Alpha Chi Omega member preferred.

Position: Leadership Mentor – ’08 – ’09 Academic School Year

Position Summary: Using independent judgment, and working without immediate supervision, the Leadership Mentor provides consultation and advice with respect to matters of significance to collegiate chapters in an assigned region.  The Leadership Mentor provides for effective chapter management, including public relations, educational programs, administrative operations and recruitment/retention. 

Essential Functions:

1. Travel – By air and rental vehicle to collegiate chapters.  May be called upon to transport by car supplies and other items or materials to chapters, including chapters outside the Leadership Mentor’s home state.

2. Chapter management – Analyze and study a chapter’s management strengths and weaknesses; evaluate possible courses of conduct, development and proposed changes; provide consultation in the implementation of proposed changes and identify opportunities for headquarters to provide assistance;  consult chapter management on short-term and long-term planning of objectives; and provide consultation and advice on day-to-day operational issues.          

3. Risk management – Investigate, evaluate, and assess situations which pose a potential liability/risk to the chapter; determine and recommend to chapter management responses to such situations; consult chapter management with respect to implementation of recommended responses; and conduct training of chapter leadership on risk management.

4. External Relationships – Develop and propose strategies designed to foster and maintain positive relationships within the Greek community, with volunteers, and with the host institution; actively directs and participates in meetings with representatives of the aforementioned groups.

5. Recruitment and retention – Exercise independent judgment in consulting and advising chapters with respect to recruitment and retention of members.

6. New Chapter Installation – Exercise independent judgment in consulting and advising chapters throughout the process of installation.

7. Training – Exercise independent judgment to develop and conduct workshops for existing and new chapter leadership on chapter management, safety/risk management, communication skills, marketing/recruiting, and retention.

8. Evaluate Advisory Board needs and collect data as necessary.

9. Lead special projects, and perform other duties and responsibilities as assigned.

Required Knowledge, Skills, Abilities and Other Characteristics:

An Alpha Chi Omega member, with experience working with Greek organizations or knowledge of fraternities. Strong analytical skills, sound judgment, and decision-making ability. Effective oral and written communication and presentation skills. Proficient skills in Microsoft Office and data entry. Experience in a leadership or supervisory role and bachelor’s degree required. Must be able to travel by air and car regularly.
